Privacy Policy

This Privacy Policy describes how Knomatic Software, LLC ("Knomatic," "we," "us," or "our") collects, uses, stores, and shares information through the LandComply application and website (collectively, the "Service"). By using the Service, you agree to the terms of this Privacy Policy.

1. Information We Collect

Account Information. When you create an account, we collect your name, email address, phone number, and payment information (processed by our third-party payment processor — we do not store full credit card numbers).

Property Information. You provide information about your properties, including county, physical address, acreage, land use type, valuation classification (1-D-1 or 1-D-1T), and CAD account numbers.

Activity Data. When you log agricultural or timber activities, we collect the information you enter: activity type, date, description, duration, cost, and any photos you upload. Photos may include EXIF metadata such as GPS coordinates, timestamp, and device information.

Generated Records. The Service generates compliance reports, scoring data, and filing documents (Form 50-129, Form 50-167) from your activity data.

Usage Data. We automatically collect information about how you interact with the Service, including device type, browser type, IP address, pages viewed, features used, and session duration. We use this data to improve the Service.

2. How We Use Your Information

We use the information we collect to:

(a) Provide, maintain, and improve the Service, including generating compliance reports and scoring your activities against county intensity standards.

(b) Communicate with you about your account, including billing, service updates, filing deadline reminders, and compliance alerts.

(c) Respond to your requests, questions, and support inquiries.

(d) Create and distribute anonymized, aggregated data that cannot reasonably identify any individual property owner or specific property. This may include regional compliance trends, ecoregion-level agricultural activity benchmarks, county-level participation statistics, and industry research. We may share or sell such anonymized, aggregated data to agricultural organizations, government agencies, academic researchers, and other third parties.

(e) Comply with legal obligations, enforce our Terms of Service, and protect the rights, safety, and property of Knomatic, our users, and the public.

3. Data Ownership

You retain ownership of the content you create and upload to the Service, including activity descriptions, photos, and documents ("User Content"). By using the Service, you grant Knomatic a non-exclusive, worldwide, royalty-free license to use, process, store, and display your User Content solely as necessary to provide and improve the Service and as otherwise described in this Privacy Policy.

You also grant Knomatic the right to create anonymized, aggregated derivatives of your data as described in Section 2(d). These derivatives, once anonymized, are owned by Knomatic and are not considered User Content.

4. How We Share Your Information

We do not sell your individual, identifiable data. We share your information only in these circumstances:

(a) At your direction. When you generate a filing report and choose to submit it to your county appraisal district, or when you explicitly authorize sharing with a consultant, ranch manager, or other third party.

(b) Service providers. We use third-party vendors for hosting, payment processing, email delivery, and analytics. These providers access your data only as necessary to perform services on our behalf and are contractually obligated to protect it.

(c) Anonymized, aggregated data. As described in Section 2(d), we may share or sell anonymized, aggregated data that cannot identify you or your property.

(d) Legal requirements. We may disclose your information if required by law, subpoena, court order, or government request, or if we believe disclosure is necessary to protect the rights, safety, or property of Knomatic, our users, or the public.

(e) Business transfers. In connection with a merger, acquisition, reorganization, or sale of assets, your information may be transferred to the acquiring entity. We will notify you of any such transfer and any changes to this Privacy Policy.

5. Data Security

We implement industry-standard security measures to protect your information, including encryption of data at rest and in transit (TLS 1.2+), access controls, and regular security assessments. However, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security of your data.

6. Data Retention

We retain your account and activity data for as long as your account is active, plus 12 months after account closure to allow for reactivation. After this retention period, your data will be permanently deleted from our active systems, though it may persist in encrypted backups for up to an additional 90 days. Anonymized, aggregated data derived from your account may be retained indefinitely.

You may request deletion of your account and data at any time by contacting privacy@landcomply.com. We will process deletion requests within 30 days, subject to any legal retention obligations.

7. Your Rights

Depending on your jurisdiction, you may have the right to: access the personal information we hold about you, correct inaccurate information, request deletion of your information, request a portable copy of your data, and opt out of certain uses of your data. 8. Children's Privacy

The Service is not directed to individuals under 18 years of age. We do not knowingly collect information from children under 18. If we become aware that we have collected information from a child under 18, we will take steps to delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page with a revised "Last updated" date and, for material changes, by email to the address associated with your account. Your continued use of the Service after any changes constitutes acceptance of the updated policy.
